A client has many challenges along the way, and this is where Realized Solutions steps in. One of our clients utilizes email and fax as a source of collecting weekly time sheets. RSI assists in handling the weekly time sheets by extracting and storing the information in a way that is ready to be processed further.
To successfully complete the process, RSI uses a third-party vendor EtherFax which collects and stores the faxes sent to the client. RSI has an association with respective fax accounts on Etherfax and uses the APIs to retrieve faxes. Every 15 minutes, the collected faxes are retrieved as images with metadata through an API call to Etherfax, downloaded and saved into FI’s database with timestamp and other details. The byte array is uniquely stored with GUIDs for easy identification and tracking.
Similarly, every 15 minutes, another similar process extracts the email attachments sent to specific email inbox with the employee time sheets. Starting from the earlier unread email, every single attachment is extracted by the attachment interactors and stored in a fashion it can be easily utilized, retrieving, and analyzed. The attachments are stored as byte arrays along with sender details and other email elements and the email is marked as “read” once the job has been completed.
Also RSI implemented a process to access the collected images for further business utilization which turns into a keen detail for employee’s payroll process. The files can be sent to print and organized to a digitized copy, sent to printers for hard copy printing, and stored for logging purposes.
With this feature RSI’s client can continue their main business function in an efficient and organized way every day even during unprecedented times without interruptions. This helps to eliminate a lot of manual work and errors in collecting and organizing essential data from employees on a day-to-day basis.
